PASSES
Vehicle passes will be dispatched to your address at least 14 days prior to the event.
DAMAGE
Stand holders will be responsible for any damage caused by themselves or employees to the ground, fixtures, fittings, or
any buildings on the showground. The organisers will charge the trade stand holder for any repairs that have to be made.
HIRERS RESPONSIBILTY
The hirer is responsible for ensuring that the following policies and safety certificates are produced to the
Council/Gravesend Town/Summer Regatta Committee (if applicable) when submitting the application form:-


Safety certificates for each item of equipment or attraction where appropriate for public use in
connection with hiring.
Fireproofing certificate in respect of any marquee or tented accommodation for public use in
connection with hiring.
Electrical safety certificate in respect of each item of electrical equipment which must comply
with the current edition of Regulations for Electrical Installation issued by the Institute of
Electrical Engineers, in connection with the hiring.

LITTER
It is the Tradestand Holder's responsibility to ensure that during the event their areas are kept clean and free from litter.
The organisers will provide adequate wastebins and will arrange the disposal of any rubbish. ALL CASES AND WRAPPING
SHOULD BE TAKEN AWAY AND DISPOSED OF BY THE TRADESTANDS HOLDERS, FAILURE TO DO SO WILL RESULT IN A
CHARGE.

LIQUID PETROLEUM GAS (LPG)
Any Tradestand Holder who uses LPG must comply with HSE guidance notes CS4 "The keeping of LPG in cylinders and
similar containers" and use it in accordance HSE guidance notes CS6 "The storage and use of LPG on construction
sites".
It is the Tradestand Holder's responsibility to ensure that no LPG cylinders are kept inside any structure. They must be
kept in such a way as to allow access to them at all times in case of an emergency. It is the Tradestand Holder's
responsibility to ensure that all appliances must be connected to the cylinders through pipework.
It is the Tradestand Holder's responsibility to ensure that where LPG cylinders are stored the numbers are kept to a
minimum.
All gas appliances must be examined and tested by a competent person and labelled or given a certificate indicating the
examiner's name and date of examination. Appliances will not be allowed to be used unless this has been done.

MACHINERY
It is the Tradestand Holder's responsibility to ensure that any plant or machinery used prior to, during, or after an event should
be operated by an adult who is fully trained in it's safe use. The person operating this machinery should do so in a safe
manner.
STRUCTURE
It is the Tradestand Holder's responsibility to ensure that static exhibits must be erected in a way as to ensure they do not
present a risk to any person prior to, during, or after the event.

SALES OF GOODS
The quantity and quality of goods sold from premises including temporary premises at the event will fall within the responsibility
of the local Trading Standards Officers.
The selling of live animals or offering them as prizes (for example, Goldfish) by the hirer is strictly prohibited.
The sale of liquor or any other product which requires a licence is strictly prohibited.
SETTING UP
Tradestand Holders may enter the showground and set up one day prior to an event starting. Any Tradestand Holder who wishes
to come into the ground before that time must notify Gravesend Regatta Committee beforehand.
All cars, vans, caravans, trailers and other vehicles or plants not in use and not part of the hirer's stall or Tradestand must be
removed from the event and parked in areas as directed by the Council.

OPENING
Exhibits to be ready and presentable by 10.00 a.m.
BREAKDOWN
The movement of any Tradestand vehicle is prohibited until at least 30 minutes after the event has finished.

ALL STANDS MUST BE REMOVED FROM THE SHOWGROUND WITHIN ONE DAY AFTER THE EVENT.

TRANSMITTING EQUIPMENT
The use of Transmitting Equipment (e.g. Radio-microphones, 2 way radios) is prohibited on the showground during the events
unless prior permission is given. Gravesend Regatta Committee will require at least one months notice detailing the
frequencies, the power and the reason for using the equipment. The organisers reserve the right to limit the use of such
equipment.
SECURITY
The organisers accept no responsibility for Tradestand security. Stand holders are advised to provide the necessary security.
INSURANCE
It is the Tradestand Holder's responsibility to provide insurance for their stand, (plus a minimum £1,500,000 public liability).

GENERAL
The stand holders will at all times comply with Gravesham Borough Council bye-laws (copies available on request).
The hirer will ensure that access to his/her stall of Tradestand is given to the Council, it's agents and servants and to the Police
and Fire Service at any time during the hiring for the purpose of inspection, enforcement of licences, or to preserve order.
INDEMNITY
I/We agree to indemnify Gravesend Regatta Committee, Gravesham Borough Council or the sponsors against any claims or loss
of expense as a result of my/our attendance at the event.
